Transform Your Workflow with Just Three Powerful Apps

Tired of juggling countless apps that promise productivity but deliver clutter and chaos instead? Discover how to streamline your digital life by harnessing the power of just three essential tools: Capacities, Todoist, and Sunsama.

The idea is to have a combination of apps which complement each other and provides a well integrated solution, here’s a primary tool set that I need:

  1. Notes or Project Manager
  2. Task management
  3. Planner

For me, these 3 are the most essential elements of my system and has potential to make my everyday and week a productive one.

Here’s the 3 apps that I am using as an integrated and effective system:

  1. Capacities
  2. Todoist
  3. Sunsama

Starting with Capacities, this app serves as my central hub for organizing projects and taking comprehensive notes. It allows me to create structured outlines and keep track of all ongoing projects, enabling me to always have an overview of what needs attention. 

With its robust capability of integrating multimedia and linking related notes for easy access, Capacities ensures that nothing slips through the cracks while also providing a neatly organized digital workspace.

With daily notes and ‘Object’ for projects and meeting notes, I am developing the best of confidence in any system I have so far. All the major notes, be it project specific or a person will always goes to my Daily Notes.
Object inside Capacities may be tricky initially but once you set your basics right, you can really make the most of this beautifully crafted app. I have my projects, meeting notes, person and many other objects set which offers me a confident system with all the contextual data and views.

I am personally really impressed with the open communication and roadmap of Capacities and team behind this app. Capacities is available cross platforms; Desktop & Web (MacOS & Windows), Mobile & Tablet (iOS & Android)


As of now, Capacities offers a handful of integration and for my use case that is sufficient. For example, I use WhatsApp to quickly share my thoughts and idea.


What stands out is the simple and effective integration of Todoist (Capacities does offer similar integration with TickTick, Google Tasks, Microsoft To Do & Things 3 too). While I take notes inside Capacities, I can shoot any action item from any project, meeting or daily notes to Todoist and not only to Inbox but to my preferred Project inside Todoist.

Next, there’s Todoist, my go-to for managing everyday tasks. Its intuitive interface and cross-platform support make adding new tasks or checking off completed ones effortless, whether I’m using my phone or computer. By assigning tasks to specific projects and tagging them with appropriate labels or priorities, Todoist keeps my daily to-do list organized and accessible.


Todoist has one of the longest list of integration and so far, I had tried with many tools and really impressed with the additional usability Todoist offers with the integration. Be it with Outlook or any other planner.


The integration with Capacities is simply effective and for me, all the projects related tasks goes to my preferred single project and it makes it easier to manage and take actions from a single project list.
Todoist is also available cross platform.


Sunsama comes into play as my planner and a sacred place, seamlessly bridging the gap between tasks and projects. It helps me visualize my week, allowing me to time-block my schedule efficiently. With Sunsama, I can drag tasks from Todoist into my daily calendar, ensuring that my time is allocated according to my priorities. It also provides an overview of my week, giving me the foresight to adjust plans and set realistic goals.

The core idea of Sunsama is to bring all the elements of your tasks and events and give you a space to design your day and week, your priorities and objectives are always in front of you. Even though, Sunsama offers an integration with many of the apps from the task and management space. I only use my email integration (Gmail & Outlook) & Todoist.

Sunsama is also available cross platform.


By integrating these three tools, I have crafted a workflow that doesn’t just allow for efficient task management, but also supports strategic planning and execution. Each app complements the other, making sure that I have the right tool for each part of my workflow — from capturing ideas and organizing projects to planning my time and executing tasks.

In summary, the synergy between Capacities, Todoist, and Sunsama not only ensures that my workflow is seamless and adaptable but also that I remain productive and stress-free, whether I’m sitting at my desk or on the move. This trinity of tools works harmoniously to turn my mobile device into a powerful hub for managing every aspect of my professional life.
