In today’s fast-paced world, our attention spans are getting shorter and we find ourselves constantly juggling multiple tasks and responsibilities. As a result, managing our priorities and staying organized can be a real challenge. To help us stay on track, many of us turn to task manager or to-do list apps as a support system.

However, the use of these apps can sometimes add to the complexity of our tasks. For instance, a typical knowledge worker might have a notes app, a project management system, and an integrated task management tool like Notion, Coda, Mem, Reflect, Craft, Evernote, and many others. With tasks scattered across multiple platforms, it can be difficult to keep track of everything.

To make matters worse, tasks themselves can come in different forms. Some tasks may be project-specific, while others may be part of a daily routine like meetings, exercise, or meditation. And still others may be occasional tasks like making phone calls or following up with someone.

In my experience, the key to staying organized is to use an app that is specifically designed for its core purpose. For example, I use a specific notes app, a specific to-do list app, a project and knowledge management app, a calendar, and an email app. Each of these apps serves a specific purpose within my workflow, helping me stay focused and on top of my tasks.

A simple solution is to understand and categorise your to-do:

  • For example; A recurring task in the to-do list (daily exercise, weekly review, monthly reports) and schedule in your calendar
  • Project specific tasks — can live and scheduled from your project management app
  • Action items from the meeting notes can live inside notes app, reviewed and scheduled in your calendar

Initially your to-do might be living in multiple spaces and may look like not the best idea but if you are thorough with ‘weekly review’ you will see the benefits.
